Legal document management software is a document management system used the way a firm actually works: one place for matter files, drafts with history, who may open them, and proof of what was shared or signed. It is not legal case management software. Case management is matters, time, billing, and often dockets. Confusing the two wastes a procurement cycle on the wrong category.

Matter-centric folders
Client → matter → pleadings, correspondence, research, executed agreements. Templates beat reinventing the tree per partner. Intake from clients still works better as a checklist portal than a general inbox.
Privilege and ethical walls
Attorney-client and work-product materials need RBAC: matter teams in, everyone else out. Lateral hires and conflicts mean some people must never see a folder even if they are “partners.” Audit who opened a sensitive brief. “Anyone with the link” is not privilege protection.
Version history on drafts

Search in scans and PDFs
Discovery and client dumps are images. Filename search will not find a clause. You need content search / OCR—full-text search.
Holds and retention
When a dispute is reasonably anticipated, freeze deletion on the relevant set. That is a legal hold, not a sticky note. Retention for closed matters still needs a reviewed schedule—retention policies and records vs DMS.
Signatures on the same record
Engagement letters and NDAs should not leave the matter folder to be signed in a consumer app. Keep completion evidence with the file: e-sign in the DMS.
