On-premises scanning
Older records arrive on a drive or a network folder, with a spreadsheet that lists them. New scans arrive from the office copier. This is part of the Custom on-premises plan.
Spreadsheet import • Scans from the copier • A PDF you can search
Both are stored in TurboDMS. A large import of older records runs in the background, so scans from today are filed on time.
Import a hard drive or a network folder your administrator has approved, together with a CSV or Excel list of the files. If the file name already contains the box, file number, and date, TurboDMS can read those from the name. Preview the import before anything is saved, then compare how many files you expected with how many arrived. Text recognition can run now, overnight, or later.
Point the office copier at a folder, or email the scan to that folder's address. Files get the same numbering and filing as a document uploaded in the browser. TurboDMS can save a PDF you can search inside, and keep the original scan for administrators only.
Check a sample, then approve the batch. Until you approve it, only the project team and administrators can see the folder. Approval comes with a report of who imported the files and a SHA-256 hash of each original. Legal hold and deletion requests cover these files, including originals kept for administrators.
An administrator chooses an approved folder and uploads the spreadsheet. The preview lists missing files, extra files, and values that do not fit your fields, before anything is saved. Running the import again keeps files already saved and retries the rest. If the delivery was wrong, you can remove everything that import created.
The copier saves into a folder TurboDMS watches, or emails a PDF to the folder address. TurboDMS waits until the file has finished saving, then files it with the same numbering and workflows as a web upload. Read email-to-folder capture, and the guide to bringing an older archive in.
Search finds the words after text recognition. When you ask for a searchable PDF, that is the file people open. The original scan is kept for administrators, with a SHA-256 hash recorded when it arrived.
On Windows, the desktop app can scan from a scanner plugged into the computer. The Android app can scan several documents and upload them when the phone is online again. Many teams leave the scanning to their copier or a scanning company. TurboDMS imports the files those tools already create. A capture product you already use can keep doing the scanning.
Yes, on the Custom on-premises plan. Import a hard drive or a network folder your administrator has approved, together with a CSV or Excel list of the files. If the file name already contains the box, file number, and date, TurboDMS can read those from the name. You can preview the import before anything is saved, compare how many files you expected with how many arrived, retry the ones that failed, and remove a bad import.

On Windows, the desktop app can scan from a scanner plugged into the computer (WIA or TWAIN). The Android app can scan several documents and upload them when the phone is online again. You can also keep using your copier or a scanning company. TurboDMS imports those files.
Cloud plans include OCR search of files you upload. Importing a folder on your server, watching a scan folder, and running a digitization project are on the Custom on-premises plan.
